Welcome to the Centralia Fantasy Festival! 

Join us for inventive vendors, delicious food, incredible entertainment, and activities that include archery, sword demos, pirates, and educational exhibits. This will all be outside in the beautiful setting of the Southwest Washington Fairgrounds in Centralia, Washington.

Please read everything on this page carefully before applying. 

Deadlines: 

Last day to register – Thursday, July 10, 2025

Last day to request a refund (excluding fees) – Friday, May 2, 2025

Application details:

  • Vendors must pay for their booth on this page. 
  • Payment for a booth is not acceptance into the festival. See refund policy below.
  • We are curating a handmade market, we will give preference to vendors who are creating their own products. If your items are only from online goods please do not apply.
  • This is a family-friendly event. Please keep this in mind when curating your items to show us.
    • Unlisted items brought to the festival must be approved by staff before entrance. Please provide a list at checkout or email [email protected] with a full list. 
  • We require our vendors to promote the event on social media at least four times. If you don't have any social media pick up flyers to hang in your local area at Victorian and Steampunk Emporium at 529 North Tower Avenue, 98531.
  • MLM's will not be accepted.

Applications are full for vendors who specialize in 3D-printed items.

Booth pricing:

  • $205 – 10 x 10 space
  • $295 – 10 x 20 space
  • $400 – 10 x 30 space
  • $400 – 20 x 20 space
  • $500 – 20 x 30 space
  • $600 – 30 x 60 space

Food vendor pricing:

  • $250 – 10 x 10 Food Vendor space
  • $350 – Food Trucks

Add-ons at checkout:

  • Extra 10 x 10 space – $100 
  • Extra 10 x 20 space – $200
  • Electricity – $30

On-site requirements:

  • Be prepared to load-in and load-out on your own. For accommodation requests, please contact the vendor coordinator. 
  • For safety, all canopies must have 25lb per leg or 50lb for umbrellas. You may be asked to take yours down if there is no weight attached.
  • All vendors are personally liable for any damages, injuries, or costs incured at their booth or on festival grounds. Insurance is not required but encouragd. 
  • Vendor setup, supplies, and storage must not exceed your designated space. 
  • Generators are not allowed unless you are a food vendor, however, electricity is provided. Purchase at checkout. 
  • All cords that cross pedestrian walkways must be secured to prevent tripping. 
  • Vendors are required to clean up their own garbage and recyclables at the end of the event. Dumpsters are available. Vendors who do not clean up their booth space will not be allowed into the event next year. 
  • All food vendors must show a food permit for Lewis County no later than 10 days before the event.
  • All food vendors must have insurance.

Vendor communications: 

Once your vendor application is approved, you will receive important communications will be sent to the email you provide. Vendors can expect information regarding load-in, load-out, exact space location, and other important information to be emailed to you within one week of the event. If you need to update any information, please email the vendor coordinator. 

Refund and cancellation policy: 

Payment for a booth is not acceptance into the festival. Event producers reserve the right to refuse vendors after payment. In this case, a face-value refund (excluding Ticket Tomato and handling fees) will be given. 

To cancel your reservation, contact Ticket Tomato ([email protected]). A face-value refund (excluding Ticket Tomato and handling fees) will be given if written notice is received by midnight on Friday, May 2, 2025

Our events are rain or shine, heatwave or snow! No refunds will be given due to weather or other acts of nature.
